
Summary
PLVision is looking for a detail-oriented and proactive Finance and Office Coordinator to join our Administrative team in Krakow. Your primary responsibility will be to support the Finance and Accounting department by ensuring the accurate and timely handling of financial documentation, preparing data for monthly reports, assisting with payments and invoicing, and communicating with external partners.
Additionally, you will contribute to the effective operation of our Kraków office. This includes maintaining relationships with local vendors and service providers, organizing essential purchases, and supporting our specialists with administrative needs such as travel arrangements and documentation. You will also work closely with colleagues from our Lviv location to ensure consistency and alignment across offices.

Responsibilities
Financial and Administrative Responsibilities (90% workload):
Maintain payment registers; preparing and processing invoices
Manage interactions with banks
Support document flow with contractors and sole proprietors (JDG)
Assist with the registration process of sole proprietorships (JDG) in Poland
Communicate with insurance companies
Prepare selected data for monthly financial reports
Coordinate the annual audit: liaising with accountants and auditors, preparing necessary documents
Work in Jira: creating and closing payment requests and other related tasks
Office Support (10% workload):
Organize essential office purchases (e.g., coffee, water, office supplies)
Coordinate with vendors, notaries, and courier services
Support the shipping of equipment and documents
Assist with business trip arrangements and day-to-day matters for employees in Poland
Support management during visits to Kraków (e.g., meetings, bank visits)
Enter expenses and payment transactions into 1C
Requirements
Higher education (Bachelor’s or Master’s degree in Finance or Accounting)
Experience in finance or accounting
High stress resistance, independence, sense of responsibility, accuracy, and conscientiousness in task execution
At least 6 months of experience in an administrative role
Experience working with 1C, Jira, PandaDoc, and MS Office
Proficiency in Polish
Proficiency in Ukrainian
Proficiency in English
